Who we are

What we collect

• Details you give us. When you request our brochure, send an enquiry, book a viewing or contact us, we collect what you tell us: usually your names, email address, phone number, wedding date or dates, guest numbers and anything you share about your plans.
• Details about your visit. If you accept cookies, our advertising and analytics tools collect information about how you use this site, such as the pages you view and the device and browser you use. See our Cookie Policy.
• Details we need to deliver your wedding. If you book, we keep the information needed to plan and run your day and your stay.

How we use it

• To send you our brochure and reply to your enquiry, by email, phone or WhatsApp.
• To arrange viewings, open evenings and tastings.
• To plan and deliver your wedding and your stay if you book with us.
• To send you news and offers, where you have agreed to this or where we are allowed to under our legitimate interests. You can opt out at any time.
• To understand how couples find us and improve our website and advertising, only where you have accepted cookies.
• To keep our records and meet our legal and accounting duties.

Our legal bases are your consent, the steps needed to enter into or perform a contract with you, our legitimate interests in responding to enquiries and running our business, and our legal obligations.

Who we share it with

We never sell your information. We share it only with:

• The tools we use to manage enquiries, brochure requests and viewing bookings (Venue Flow, which runs on the LeadConnector platform), and our email and messaging services.
• Meta (Facebook and Instagram) and, if we use it, Google Analytics, only where you have accepted cookies.
• Our website host, Cloudflare, which processes visit data in order to deliver the site securely.
• Suppliers you choose for your wedding, such as your caterer, where they need your details.
• Anyone we are required to share it with by law.

Some of these providers process data outside the UK. Where they do, we rely on appropriate safeguards such as the UK’s adequacy regulations or standard contractual clauses.

How long we keep it

We keep information we use to send you marketing for up to 10 years, unless you ask us to stop sooner. We keep other personal information for up to 8 years from when we collected it, which covers our legal and accounting duties for couples who book.

Your rights

You have the right to ask for a copy of the information we hold about you, to have it corrected, to have it deleted, to restrict or object to how we use it, and to receive it in a portable format. Where we rely on your consent, you can withdraw it at any time. To do any of these, email events@oakwoodryther.co.uk.

If you are unhappy with how we have handled your information, please tell us first. You can also complain to the Information Commissioner’s Office on 0303 123 1113 or at ico.org.uk.
